Participation Guidelines for the WE BUILD Domain Interest Groups

1.What is a WE BUILD Interest Group?


An “Interest Group” is a thematic-specific initiative designed to facilitate structured engagement between the WE BUILD consortium and external stakeholders (entities and organizations outside the project consortium). Organized around project's core thematic domains—Business, Supply Chain, and Payments—its primary purpose is to establish a targeted communication channel. This allows the consortium to inform these external stakeholders about the project's progress and results within each Domain, while providing a framework for gathering specific, high-value feedback.




2. What is a WE BUILD external stakeholder?


A WE BUILD external stakeholder is defined as any organization that, while not a participant in the project consortium, expresses an interest in staying informed about the activities and progress within one or more of its Domains (Business, Supply Chain, and Payments), regardless of its nationality, legal status, or public/private nature.




3. Structure and Development of Interest Groups


The following are the fundamental descriptive elements of a WE BUILD Interest Group:

  • Thematic-Specific. Different Interest Groups will be established, revolving around the project Domains: Business, Supply Chain, and Payments.
  • Session Format and Frequency. Interest Groups will be conducted as a series of information sessions (60 minutes approx.). These will be held periodically throughout the project’s lifecycle, approximately on a quarterly basis following the inaugural session.
  • Expression of Interest. Participation in an Interest Group and its information sessions requires a prior expression of interest submitted through the channels provided by the WE BUILD project. 
  • Provision of Feedback: during or between sessions, the WE BUILD Interest Group managers may present questions or surveys to the participating external stakeholders. This serves as means to identify and pulse relevant topics and perceptions from the participants, establishing a mechanism that ensures continuous value extraction from the ecosystem. Although providing this feedback is entirely voluntary, any contribution made will be fully covered by the provisions outlined in Section 6, "Confidentiality and Use of Information/Feedback," of this document.




4. Definition of “Participant”


“Participants”
are defined as the individuals belonging to the external stakeholders who take part in one or more Interest Groups and their respective sessions.





5. Purpose and General Content


Interest Groups are configured as a platform through which external stakeholders can access progress updates across the project’s different Domains (Business, Supply Chain, and Payments).

The following is a non-binding list of general topics to be addressed during the sessions: 

  • General context of the WE BUILD project within the European roadmap for Wallets and Digital Identity adoption. 
  • Domain-specific context (Business, Supply Chain, Payments): application frameworks and use cases addressed by WE BUILD.
  • Focus on specific scenarios, use cases, and attestations addressed within each Domain.
  • Examples and demonstrations of Wallet usage in selected cases.
  • Progress and lessons learned.
  • Upcoming actions and next steps.

Sessions will include a dedicated slot for participants to raise questions, comments, or suggestions. Notwithstanding the above, the primary purpose of the Interest Groups is not to serve as a discussion forum or a decision-making body for the WE BUILD project.





6. Confidentiality and Use of Information/Feedback


The WE BUILD consortium ensures that all information shared will comply with the project’s internal confidentiality policies, subject to the prior approval of the Management Board. Regarding the participants (again, personnel from external stakeholders who have expressed interest in joining one or more Interest Groups), they accept the following conditions:

  • Voluntary Participation: joining an Interest Group and attending its information sessions is entirely voluntary.
  • Voluntary Feedback: any sharing of information or feedback is done voluntarily and without obligation, in accordance with the internal confidentiality policies of the participants' respective organizations.
  • Right of Use and Non-Attribution: the WE BUILD consortium reserves the right to use the information or feedback gathered for purposes exclusively related to the project. The consortium shall apply a “non-attribution” principle, meaning that feedback provided by participants will not be directly attributed to them or their organizations in any external communication or dissemination activities, unless express documented authorization is provided.
